1. Overview
The Zoom integration lets you schedule and manage Zoom meetings directly from MIMS ERP, without switching tools. Once you connect your own Zoom account, MIMS ERP can create a Zoom meeting for a calendar event, keep it in sync when the event changes, and send the invitation to participants.
The connection is per user: each person connects their own Zoom account, and MIMS ERP only ever acts on the account of the person who connected it. Connecting Zoom is optional — MIMS ERP works without it.
2. What the app does
- Creates Zoom meetings for MIMS ERP calendar events, under your Zoom account.
- Keeps them in sync — updating the event (time, duration) updates the Zoom meeting; canceling the event deletes the Zoom meeting.
- Attaches meeting details to the event: join link, meeting ID, passcode and start time, so everyone has what they need.
- Sends invitations to participants by email from MIMS ERP, including the join link. (Zoom does not email meeting invitees created through its API, so MIMS ERP sends the invitation itself.)
- Shows who is connected by reading your basic Zoom profile (name and email) so the integration can display “Connected as …”.
MIMS ERP does not access meeting recordings, chat, or the content of your meetings.
3. Permissions requested
When you connect, Zoom asks you to authorize the following permissions (OAuth scopes). MIMS ERP requests only what it needs to schedule meetings on your behalf:
user:read:user— read your basic Zoom profile (name, email, account ID) to confirm which account is connected.meeting:write:meeting— create meetings on your behalf.meeting:read:meeting— read the meetings it created (details and status).meeting:update:meeting— update those meetings when you change the event.meeting:delete:meeting— delete a meeting when you cancel the event.
You can review and revoke these permissions at any time (see “Removing the app”).
4. Before you start
- A Zoom account you can sign in to.
- A MIMS ERP account with access to Settings → Integrations (the
integrationspermission). If you don’t see the Integrations page, ask your workspace administrator.
5. Adding the app
You can connect Zoom from inside MIMS ERP:
- Sign in to MIMS ERP and open Settings → Integrations.
- On the Zoom card, click Connect.
- You are redirected to Zoom’s secure sign-in and authorization screen. Review the requested permissions and click Allow.
- Zoom returns you to MIMS ERP. The Zoom card now shows Connected as {your name} with the date you connected.
If you install the app from the Zoom App Marketplace instead, clicking Add starts the same authorization and returns you to MIMS ERP.

6. Using the app
- In MIMS ERP, create or edit a calendar event.
- Enable “Create Zoom meeting” on the event. When you save, MIMS ERP creates the meeting under your Zoom account and attaches the join link, meeting ID and passcode to the event.
- Participants receive an email invitation from MIMS ERP with the join link.
- Changing the event time or duration updates the Zoom meeting. Removing the meeting from the event (or canceling the event) deletes it from Zoom.
If your Zoom access token has expired, MIMS ERP refreshes it automatically in the background — you do not need to reconnect for routine use.
7. Troubleshooting
- The Connect button doesn’t open Zoom: allow pop-ups and redirects for MIMS ERP, then try again — connecting sends you to Zoom’s sign-in page.
- Still “Not connected” after authorizing: make sure you completed Zoom’s sign-in and clicked Allow. Then reopen Settings → Integrations and click Connect again.
- A meeting wasn’t created for an event: confirm Zoom shows as connected and that “Create Zoom meeting” was enabled on the event. If the connection expired or was revoked in Zoom, reconnect it.
- Zoom access was revoked: if you removed the app from Zoom, MIMS ERP clears the connection automatically — just reconnect from Settings → Integrations.
- You don’t see the Integrations page: you need the
integrationspermission. Ask your workspace administrator. - A participant didn’t get the invitation: check spam/junk folders and confirm the participant’s email address on the event.

8. Removing the app
You can disconnect Zoom in either of two ways.
From MIMS ERP
- Open Settings → Integrations.
- On the Zoom card, click Disconnect.
This immediately deletes the Zoom access and refresh tokens stored for your account in MIMS ERP. Meetings that were already created remain in your Zoom account.
From Zoom
- Sign in to the Zoom App Marketplace and go to Manage → Added Apps (or your Zoom Account’s Installed Apps).
- Find MIMS ERP and click Remove. This revokes MIMS ERP’s access to your account.
When access is revoked from Zoom, MIMS ERP detects it the next time it tries to use the connection and clears the stored connection automatically.
9. Data handling and security
- Per-user, minimal access: MIMS ERP only accesses the Zoom account of the user who connected it, and only for the permissions listed above.
- Encrypted tokens: your Zoom access and refresh tokens are encrypted at rest using AES-256-GCM and are never shared with other users.
- What is stored: your basic Zoom profile (name, email, account ID) to show who is connected, and meeting metadata (meeting ID, join/start URL, passcode, time) on the events you create. MIMS ERP does not store recordings, chat or meeting content.
- Deletion: disconnecting (or deleting your MIMS ERP account) removes all stored Zoom tokens and connection data.
